Essential Duties and Responsibilities:
- Developing and enhancing the department’s structure, plan, and budget in alignment with the association’s vision, goals, and strategic plan, while monitoring implementation and conducting periodic evaluations.
- Developing and updating the department’s structure, plans, and budget in alignment with the organization’s vision, strategy, and objectives, while ensuring proper implementation and periodic evaluation.
- Establishing and enhancing departmental procedures in accordance with the organization’s policies and donor requirements.
- Providing technical and administrative support to subordinates, overseeing fair and clear task distribution, and continuously motivating the team to perform efficiently.
- Preparing and delivering presentations and reports reflecting the department’s activities and achievements internally and externally.
- Representing Ataa Organization to donors, beneficiaries, and external stakeholders.
- Mapping potential donors and building strategic partnerships with them, while regularly updating the donor mapping.
- Reviewing contracts, agreements, and memoranda of understanding prior to signing, noting key observations, and sharing them with relevant departments.
- Promoting project ideas, urgent needs, or proposals received from the Programs Department to current donors or seeking funding through potential donors.
- Organizing project code requests and ensuring the readiness of required documentation before submission to the Grants Department.
- Coordinating with the Programs Department to identify and approach partners for joint project proposals (consortiums).
- Building partnership files for each implementing partner.
- Collaborating with the Partnerships Officer to review and evaluate the communication plan with current and potential donors.
- Coordinating regular meetings to gather and promote new project ideas to donors.
- Coordinating field visits for implementing partners to follow up on partnership progress.
- Attending regular meetings with direct supervisors, subordinates, and relevant colleagues to discuss updates and developments.
Performing core administrative tasks in collaboration with the HR Department, including job description development and updates, performance evaluations, capacity-building plans, attendance tracking, recruitment processes within the department, and supporting HR decisions regarding staff while motivating the team to adhere to them.
