Additionally, contributing to report preparation and collaborating with other departments to achieve the association’s goals.

Essential Duties and Responsibilities:
- Developing the structure, plan, and budget for the department in alignment with the vision, strategy, and objectives of the association, while monitoring implementation and periodic evaluation.
- Developing departmental procedures in compliance with the association’s policies and donor requirements.
- Providing technical and administrative support to subordinates and overseeing the clear and fair distribution of tasks, while maintaining continuous motivation for efficient task execution.
- Preparing presentations and reports that reflect the department’s activities and achievements for internal and external stakeholders.
- Representing the association in front of donors, beneficiaries, and external parties.
- Implementing plans within the department to ensure the successful execution of tasks related to warehouses, and improving the processes of receiving, storing, and distributing materials.
- Implementing effective inventory management systems while ensuring stock quality.
- Developing warehouse and asset programs as necessary.
- Reviewing and approving material schedules, storage mechanisms, and determining the necessary resources for execution.
- Ensuring the documentation of all warehouse-related data both on paper and electronically.
- Examining and verifying all procurement and logistical documents against stock records and archived tender documents.
- Regularly reviewing and adjusting material balances to order materials as needed, ensuring withdrawal rates remain within approved storage limits.
- Adhering to approved budgetary limits.
- Determining appropriate shipping methods to protect products during transport, and tracking delivery schedules and transportation movements.
- Supervising asset management in offices, branches, and projects, in coordination with relevant stakeholders.
- Recording all new assets of the association and following approved procedures for delivery and handover to the responsible staff member.
- Identifying suitable solutions to challenges and issues that arise during operations.
- Analyzing performance data and using statistics to identify opportunities for improving processes and achieving objectives.
- Collaborating with other departments, particularly the Programs and Procurement teams.
- Sharing expertise with the team and providing guidance to improve operational systems.
- Ensuring adherence to rules, regulations, and safety policies.
- Monitoring material inputs and outputs in the ERP Sys software.
- Ensuring compliance with all regulations, policies, and procedures related to the supply chain and logistics functions of the association.
- Performing any other tasks as assigned by the management of the association.
- Attending regular meetings with direct supervisors, subordinates, and relevant colleagues to discuss and review updates.
- Performing basic administrative tasks in coordination with the Human Resources department, including developing and regularly updating job descriptions, conducting performance evaluations, building capacity plans, monitoring attendance, supporting recruitment processes, and motivating the team to comply with HR decisions.
